Terms of Use

  • A short read

Last updated: 7 September 2026

These terms cover your use of XY Convert and everything on it. They are written to be read rather than skipped, so they are shorter and plainer than most. Using the site means you accept them. If you do not, please do not use it.

What this site is

XY Convert is a collection of free tools that work with files: documents, pictures, audio, video and text. Every tool runs inside your own browser rather than on a server, which is the single fact that shapes most of what follows.

There is nothing to sign up for and nothing to install. The site is paid for by advertising on the pages, not by charging you.

Your files stay yours

You keep every right you had in anything you put through these tools. We claim no ownership, no licence and no interest in your files or in the results.

We could not claim anything even if we wanted to, because your files never reach us. They are read by the page in your browser, processed on your device, and handed back to you as a download. There is no upload, no server copy and no retention period.

What comes out is yours to use however you like, including commercially. Client work, listings, coursework, applications, printed material. No attribution is required and nothing is watermarked.

What we ask of you

The list is short because there is not much you can do wrong on a site that stores nothing.

  • Have the right to the files you process. Your own documents, your own photographs, your own recordings, or material you are licensed or permitted to use.
  • Do not use the tools for anything unlawful. That includes creating documents intended to deceive somebody, and processing other people’s personal data without a lawful basis for doing so.
  • Do not attempt to break, overload or interfere with the site, or with the security of anybody using it.
  • Do not scrape or republish the site’s own content as if it were yours. Quoting with a link is welcome.

One point deserves its own line, because it is the one that actually comes up. The career tools produce documents such as experience letters. An experience letter is a statement made by an employer about somebody who worked for them. Drafting one to hand to your employer for review and issue is a normal and welcome use. Writing one about yourself and presenting it as though a company issued it is forgery, and it is not a use of this site we permit.

The tools are free, and offered as they are

Everything here is provided without charge and without warranty of any kind, express or implied. We do not warrant that the site will be available at any given moment, that a tool will run on your particular device or browser, or that a result will meet your specific requirement.

Because the work happens on your device, results depend on it. A laptop handles more than a phone. Browsers differ, and they change. Where a tool has a known limit, its page says so before you start rather than after.

Keep your originals

This is the most practical clause here, so it is not buried at the bottom.

Nothing you do on this site is stored anywhere but your own device. That is the point of it, and it has one consequence worth understanding: if something goes wrong, there is no copy for anybody to recover. A crashed tab, a browser out of memory, or a file saved over another one cannot be undone by us.

Keep the original file until you have opened the result and confirmed it is what you wanted. Work on copies. Check the output before deleting anything.

Automatic results are a starting point

Several tools produce a best effort rather than a certainty, and it is your responsibility to check the output before relying on it.

Reading text from a picture guesses at characters, and names, numbers and acronyms are where it goes wrong. Transcribing speech gives you a first draft, not a finished transcript. Compression discards detail by design. The document checks in the career tools are our own guidance and are not a score from anybody’s hiring software, because no tool can produce one of those.

Advertising

This site carries advertising, which is how it stays free. We use Google AdSense and other partners may serve ads through it.

Ads are selected and delivered by those networks rather than by us. Their appearance on a page is not a recommendation, an endorsement or a guarantee of anything advertised, and any dealings you have with an advertiser are between you and them. We are not a party to those transactions and are not responsible for them.

No advertiser pays for a mention inside our articles, for a tool to be recommended, or for a link in our written content. What we write is what we actually think. How advertising cookies work, and how to turn off personalised advertising, is set out in our cookie policy and our privacy policy.

Our content

The written content, the design, the tool interfaces and the code we wrote belong to us and are protected by copyright. You may read, share and link to any of it freely. Republishing substantial parts as your own is not permitted.

Several tools use open source libraries built by other people, each under its own licence. Those licences are respected, and where a library is used it is named on the tool page.

Links to other sites

Some pages link out to documentation, open source projects and reference material. We do not control those sites and are not responsible for their content, accuracy, availability or privacy practices. Following an external link means their terms apply rather than ours.

Availability and changes

Tools are added, updated and occasionally retired. Browsers change what they support and formats move on, so a tool that worked last year may need rebuilding or removing. We may change or withdraw any part of the site at any time without notice, and we do not promise uninterrupted availability.

If a tool matters to your work, keep a desktop alternative available. That is sensible advice for any free web service, including this one.

Limitation of liability

To the fullest extent permitted by law, XY Convert and the people behind it accept no liability for loss or damage arising from use of this site or the tools on it. That includes lost, corrupted or overwritten files, missed deadlines, rejected applications, business losses, and decisions taken on the basis of anything published here.

Nothing in these terms excludes or limits any liability that cannot lawfully be excluded or limited.

Nothing here is professional advice

Content on this site is general information. It is not legal, employment, financial, tax or technical advice, and it cannot account for your situation. Employment law, company disclosure requirements and document validity all vary by country. Where a document you create here carries legal or financial weight, have somebody qualified review it first. Our disclaimer covers this in more detail.

If you are under 18

The tools are general purpose and are not directed at children. If you are under 18, please use the site with the knowledge of a parent or guardian, particularly where a document contains your personal details.

Changes to these terms

These terms may be revised as the site grows or as the law changes. The date at the top shows when they were last updated. Continuing to use the site after a change means you accept the current version, so it is worth glancing at that date now and then.

Getting in touch

Questions about these terms, reports of something behaving differently to how it is described, and suggestions for tools are all welcome through the contact page.

One request when reporting a problem: please do not attach the file you were working on. The whole point of this site is that your files stay with you, and it would be odd to ask you to email one to us. Describe it instead, which is nearly always enough to reproduce the issue.

These terms should be read alongside our privacy policy, our cookie policy and our disclaimer.
